The Digital Research Alliance of Canada (the Alliance) serves Canadian researchers, with the objective of advancing Canada’s position as a leader in the knowledge economy on the international stage. By integrating, championing, and funding the infrastructure and activities required for advanced research computing (ARC), research data management (RDM) and research software (RS), we provide the platform for the research community to access tools and services faster than ever before.

POSITION SUMMARY

The Operations Coordinator will support with the development and maintenance of reports related to operational deliverables and essential ongoing operational tasks. This individual will partner with internal and external members and stakeholders including but not limited to the Federation, National Teams, and National Hosting Sites. The Operations Coordinator will provide daily coordination and management of initiatives and providing operational reporting to key stakeholders for review. Given the relationship between developing, analyzing, and maintaining operational documentation, this role will also ensure a smooth delivery and coordination of technology services. The Operations Coordinator will be a member of the Alliance’s Operations Team, reporting to the Director of Operations.

 

RESPONSIBILITIES

  • Support collaborations among the organization’s membership and the research community more generally to advance the Alliance's mission in support of Canada’s researchers on key activities and initiatives as required for Operations.
  • Build and maintain strong working relationships and promotes research capacity building among the Alliance, partners such as institutions, National Host Sites and National Support Teams, DRI-serving organizations, and various other stakeholders.
  • Collaborate with Federation and Alliance members to understand requirements of operational deliverables.
  • Plan and execute meetings, maintain records, develop reports, and liaise with partner organizations to guarantee that the information provided is accurate and in compliance with by-laws and regulations.
  • Develop, analyze, and maintain documentation and progress report of deliverables related to initiatives and timeline of operational goals, including tracking performance and analyzing deliverables against requirements.
  • Support with daily operational management activities including inventories and IT assets (CMDB – Change Management Database).
  • Create and maintain up-to-date planning calendars and workplans with partner organizations outlining matters to be on the agenda, including monitoring and follow-up for action items.
  • Manage external correspondence and ensure that requests made to the Operations team are reported and responded to in a timely manner.
  • Maintain a full list of the Alliance’s partners, including contact information from the most appropriate point of contact(s).
  • Ensure the smooth and efficient day-to-day operation of the Operations team, acting as the primary administrative point of contact for internal Alliance staff and as an operational liaison with partner organizations on behalf of the Director of Operations.
  • Communicate plans and actions, risks, and identified issues with the Alliance leadership team and stakeholders and support to resolve issues that arise during completion of initiative(s).
  • Collaborate with the Alliance Communications team and other appropriate stakeholders to support in planning and organizing conferences, events, staff training, and operational employee engagement activities.
  • Support in overseeing Alliance outsourced services related to Service Management including but not limited to Microsoft Office/365.
  • Supervise and coordinate the provision of support services to working groups with Alliance partners and the coordination and allocation of Operations’ resources.
  • Support the Director of Operations in ensuring new employees receive specific operations onboarding.
  • Provide administrative support to Directors in the Operations & Security division.
  • Perform cross-functional and/or other duties consistent with the job classification, as assigned or requested.

 

QUALIFICATIONS

  • Bachelor’s degree in computer science, engineering, information sciences or related field or equivalent.
  • 5 years of IT operations coordination experience is required.
  • Experience coordinating in the academic and/or scientific research environment is required.
  • Excellent interpersonal and leadership skills with the ability to establish and maintain effective working relationships with Alliance partners, staff, and stakeholders.
  • Experience working in an IT Service Management role and/or Service Desk/IT Help Desk environment with exposure to IT financial management is considered an asset.
  • Advanced knowledge/experience with Microsoft products including experience with Office 365 and/or Google Workspace.
  • Experience with IT Asset Management and/or CMDB Software is considered an asset.
  • Strong writing, organizational, interpersonal and time management skills.
  • Ability to manage multiple projects and meet deadlines.
  • Pro-active and able to work collaboratively as part of a team as well as independently.
  • Adaptability in a dynamic, complex, and fast-paced delivery environment.
  • Projects a professional demeanor while providing superior customer services.
  • Punctual and reports problems promptly.
  • Excellent oral and written communication skills with experience writing reports, business correspondence and procedure manuals.
  • Effective oral and written communication capabilities, a commitment to customer service, and excellent presentation skills.
  • Excellent analytical and organizational skills, with a high degree of accuracy and attention to detail.
  • Ability to communicate effectively, both orally and in writing, in both of Canada’s two official languages is an asset.
  • Ability to work with a culturally diverse population.
  • Other relevant professional certifications are an asset.
